Operations Coordinator (Production and Site Development)

The International Balloon Festival of Saint-Jean-sur-Richelieu is looking for an Operations Coordinator to ensure the planning, supervision and impeccable execution of our event site. Joining the team at the International Balloon Festival of Saint-Jean-sur-Richelieu is an enriching and highly formative work experience in a unique context and festive atmosphere.

Your responsibilities

1. Coordination of production operations

  • Manage production teams in the field (set-up, operations, dismantling).
  • Ensure that operations follow the established schedule and intervene in the event of deviations.
  • Ensure the safety of installations and work teams.

2. Link to site planner

  • Act as a bridge between operational needs and the person responsible for the site plan.
  • Actively participate in optimizing the plan to maximize fluidity and efficiency.

3. Work tools and schedule management

  • Create and maintain management tools (e.g. Agendrix) for schedules and teams.
  • Organize schedules for all stages: set-up, event, dismantling.

4. Logistics and equipment

  • Assess material requirements (tents, electricity, plumbing, internet, etc.).
  • Research, evaluate and manage suppliers.
  • Supervise contracts, bids, expense tracking and invoices.

5. Field supervision

  • Supervise the marking, assembly and dismantling stages.
  • Welcome suppliers during site visits.
  • Ensure that deadlines are met and that everything is in order

6. Relationships and communication

  • Be the main point of contact for suppliers and internal teams.
  • Ensure smooth communication with stakeholders.
  • Follow up disputes as needed and escalate them to management.

7. Documentation and continuous improvement

  • Keep site documentation up to date ("as built").
  • Complete supplier files after the event.
  • Post-mortem report and team performance evaluation.

Requirements

  • Experience in event project management and field coordination.
  • Excellent organizational and time management skills.
  • Supplier management and negotiation skills.
  • Mobilizing leadership and team management skills.
  • Proficiency in planning and monitoring tools (e.g. Agendrix or other management software).
  • Ability to work under pressure, manage several files in parallel.
  • A keen sense of safety, attention to detail and rigor.
